All our Audiences, including HubSpot Foundations Flex, are set up as Dynamic Audiences.
Typically, the Workday sync for new hires is set to run on the Sunday prior to their HubSpot Start Date. All new hires should be in Learn@HubSpot and automatically added to the correct Audience by Sunday evening. Any new hire who is an internal transfer is already in the system, since their HubSpot Hire Date is in the past.
If a new hire is not in an Audience that they should be in due to a Workday issue, you should add them into the Audience manually following the steps below.
Add a user to a Dynamic Audience
1. In Learn@HubSpot, click the settings gear icon in the top right corner, then click Audiences.
Please note: you can also navigate to Audiences by selecting it from the Site Administration menu on the left sidebar menu found on any course page.
2. Click the audience name you would like to edit.
3. Click the Rule sets tab.
Please note: under the Rule sets tab, the second setting is Membership setting between every rule set - this should be set to OR. This means that users who fall in any Ruleset will be listed as a member of this Audience.
Looking at the above screenshot, this means that a user either needs to meet the criteria in Ruleset #1 OR Ruleset #2 to be a member of this Audience.
4. To add a new hire to this audience, scroll to the bottom and click the Add a Rule Set dropdown menu.
5. Click the Add rule dropdown menu and select Email Address.
6. In the pop-up box, click on the dropdown menu and select is equal to.
7. Enter the email address of the new hire you want to add to this Audience.

8. Click Save.
9. If you have multiple new hires to add, repeat steps 5-8 within the same Ruleset.
10. Within the same Ruleset, make sure you select OR for Membership setting between each rule in this rule set. This means any of the email addresses you enter will meet the criteria of this Ruleset and be enrolled as a member of this Audience.

11. Scroll up and click the Approve changes orange button.
12. To check if the new hires have been successfully added to this Audience, click the Members tab.
13. Search for the new hires that you've added. They should show up.
